AICSA WhatsApp Community Privacy Notice

This notice explains how the AI and Cyber Security Association (AICSA) handles your personal information in connection with our WhatsApp Community. It sits alongside our main website privacy notice at [URL].

Who We Are

The AI and Cyber Security Association Limited is a company limited by guarantee registered in England and Wales, company number 17337961, with its registered office at The Oakley, Kidderminster Road, Droitwich, WR9 0JA. We are the data controller for the information described here.

What We Collect

When you join the AICSA WhatsApp Community, we process:

  • Your mobile telephone number
  • Your WhatsApp display name and profile photograph, where you have set them
  • The content of messages you post in Community groups
  • Your membership status, which we hold in our membership records and use to determine your access

Why We Process It

We process this information to operate a members’ community, to communicate with members about the Association’s activities and to confirm that people accessing the Community are current members.

Our lawful basis is legitimate interests. Our interest is in providing a membership benefit that members have asked for, and we consider this proportionate because participation is voluntary, the information involved is limited and you can leave at any time.

Who Can See Your Information

In the Announcements group, other members cannot see your telephone number. Administrators can.

In the Discussion group, your telephone number and profile information are visible to all other members of that group. This is a function of how WhatsApp works and is not something the AICSA can change. If you would prefer not to share your number with other members, please tell us and we will keep your access to Announcements only.

WhatsApp is operated by Meta Platforms Ireland Limited. Message content in WhatsApp is end-to-end encrypted, meaning neither Meta nor the AICSA can read messages in transit. Meta processes information about your use of the service under its own privacy policy, available at https://www.whatsapp.com/legal/privacy-policy, and the AICSA has no control over that processing.

How Long We Keep It

Your membership of the Community lasts as long as your AICSA membership. When your membership ends, or if you ask to leave, we will remove you from the WhatsApp AICSA Community groups.

Messages you have posted will remain visible to other group members after you leave. We cannot delete them from other members’ devices, and WhatsApp provides no facility for us to do so. Please keep this in mind when deciding what to post.

We retain your membership records separately in our CRM in line with our main privacy notice.

Your Rights

You have the right to ask us for a copy of the personal information we hold about you, to have it corrected, to have it erased in certain circumstances, to restrict how we use it and to object to our processing where we rely on legitimate interests.

There are practical limits to what we can do within WhatsApp itself. We can remove you from the Community and delete our own records of your participation. We cannot retrieve or delete messages already delivered to other members’ devices. If you want to exercise any of your rights, contact us at hello@aisec.org.uk and we will explain what is possible.

Leaving The Community

You can leave at any time by exiting the groups in WhatsApp, or by asking us to remove you. Leaving the Community does not affect your AICSA membership.

If you are unhappy with how we have handled your information, please tell us first at [EMAIL] so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office at https://ico.org.uk or on 0303 123 1113.

Changes To This Notice

We will update this notice if our practices change and will tell members in the Community when we do.
